Labels in Posts
🏷️ Labels in Posts: how your pipeline becomes instantly understandable
Labels are the fastest way to structure posts in KNOWYOURCHAT. They make formats, campaigns, and priorities visible, so in Posts (and in the Calendar) you can instantly see what belongs together.
Labels are especially important because they make recurring formats instantly visible in KNOWYOURCHAT: you tag series consistently with labels, can filter them quickly as a result, and find them again at any time. That saves time and prevents mix-ups.
If you want to understand labels in general (also outside the workbench), start with Labels for posts.
What labels work best for
- making recurring formats visible (e.g. Weekly Radar, Community Wins). For series logic in the Calendar, see Recurring posts and series.
- bundling campaigns (e.g. launch, webinar, recruiting)
- marking priorities (e.g. urgent, must-have, optional)
- making teamwork easier: everyone immediately sees what it's about. If labels are inconsistent within the team, it often helps to clearly define roles/permissions and responsibilities once → Inviting your team & assigning roles (Admin, Editor, Creator, Viewer).
Naming convention (recommended)
For labels to work cleanly in a team, a consistent structure helps. This has proven effective:
Format:…Campaign:…Prio:…
Examples:
Format:Weekly RadarFormat:Community WinsCampaign:March LaunchPrio:High
Consistent naming
If you want to look up terms like "format", "campaign", or "prio", the KNOWYOURCHAT glossary helps.
- Less is more: better 8–15 clear labels than 40 "wildcard" tags.
- One format = one label: that keeps it instantly visible in the Calendar.
- Campaigns only when they really are campaigns: otherwise it gets messy.
- Use priority sparingly:
Prio:Highonly when it really has consequences.
Dos & don'ts
Do
- Write consistently (no variants like
Weekend Radar,Weekly Radar,WeeklyRadar). - Use labels as filters: pick the label first, then status/account.
- Introduce new labels deliberately and briefly communicate them to the team.
Don't
- Use labels for everything that actually belongs in the copy or title.
- Too many one-off labels ("just for this one post").
Typical workflow (how the team uses it)
If you want to know how to combine filters (account + status + label), continue with What can I filter by in Posts?.
- Create a post → set a label (
Format:…orCampaign:…). - Filter by label in the workbench to see the series/campaign all in one place. (Step by step: How do I filter by label?.)
- Work through it with the status filter (Draft → Review → Approval). (Status article: How do I filter by status?. Review in detail: Approval & review in Posts.)
- Check in the Calendar whether the series is cleanly distributed → Calendar (views: Calendar views: month and week).
✅ Rule of thumb: Labels are your "series logic". If labels are set consistently, your pipeline is automatically understandable.
