Define your brand voice and tone during onboarding
What does "brand voice" mean in KNOWYOURCHAT?
Your brand voice describes how you communicate – regardless of what you say. This includes, among other things:
- Tone (e.g. factual, casual, direct)
- Word choice (terms you use or avoid)
- Style (short/snappy vs. detailed, formal vs. informal address, emojis yes/no)
How is the tone determined during onboarding?
The AI Crew can build your brand voice in two ways:
- Automatically from your company website
- You paste the link, and the AI Crew detects tone, topics, and recurring phrasing.
- More precisely via document upload (recommended)
- Upload, for example, your CI guideline, brand book, or a company booklet.
- The more specific the examples and do's & don'ts, the more accurately the AI Crew works to your expectations.
Best practices: How to make your brand voice truly spot-on
- Examples help the most: 3–5 example posts or typical phrasings ("this is what sounds right")
- Add do's & don'ts:
- words/claims you want to use
- words/clichés you want to avoid
- Make formal rules clear:
- Formal or informal address?
- Emojis yes/no?
- Rather short or rather explanatory?
- Hashtags: yes/no, rather few or many?
Where do you find this in onboarding?
After connecting your channels, you enter your company information. While you do, the AI Crew is already analyzing in the background.
Below the company information, you can then select your goals – this also influences tone and content suggestions.
Can I change the tone later?
Yes. If your positioning, target audience, or style changes, you can adjust the stored information at any time.
✅ Quick start: First add your website + 1 document (e.g. CI guideline). Then add 3–5 example texts. That's usually enough for the AI Crew to work very close to your style.
